Standalone Portfolio Cleanup

As a result of the migration, you will notice items that were created in Alma as standalone portfolios (primarily from collections previously loaded into Sierra through OCLC Collection Manager for your local subscriptions and EBSCO ebooks). These show up in Primo with a generic “view full text” link since they are not associated with a specific collection in Alma.

To identify and evaluate standalone portfolios, you can use the Alma advanced search and review 856 and 990 fields in the bibliographic records for collection information and get an idea of the groups of records involved.

 

Options for Standalone Portfolios

If you have already activated a collection and portfolios from the CZ in Alma, the associated standalone portfolios can be removed because they create a redundant link in Primo and will not be synched over time. If there are POLs associated with the standalone portfolios, you may want to relink them to the CZ record before deleting the record(s).

When ready to delete, create a specific set of standalone portfolios by running the standalone portfolio search above and add the URL syntax or other parameters as needed (for example, Electronic Portfolios where Is Standalone equals "Yes" AND URL Electronic Portfolio contains phrase "ebscohost") for the collection or group of records. Confirm the correct portfolios are included in the set and then run the portfolio deletion job.

 

In some cases, you may want to retain the standalone portfolios (due to preferred local bibliographic information, the CZ record is inadequate, etc.) To keep the preferred local bibliographic information but enable automatic updates (linking, coverage, activation) the standalone portfolios can be linked to the Community Zone. It’s also possible to group them into a Local Electronic Collection for ease of management and link the local collection to a CZ Collection.

 

Note About EBSCO Ebooks

Locally subscribed EBSCO ebooks are the only ones you’ll need to address. Except for the EBSCO Academic North America ebook collection (which we activated), all the other EBSCO subscription collections are from OhioLINK and are being managed in Alma at the network level. Your individual purchases can be managed by activating the EBSCOhost ebooks collection (ID 61111000211069000) in the CZ and then activating any subscribed portfolios. Large numbers of portfolios can be managed using the Portfolio Loader if the ISBN in the CZ matches the EBSCO ISBN. A spreadsheet of your individually purchased titles can be downloaded from the EBSCO Collection Manager (ECM).
