Quick Catalog for ILL

Using the MDE to set up templates and then create brief bibs is one way to manage brief, temporary records for ILL items, though it is typically a workflow related to the ordering process. The Quick Catalog (on the fly) option is an alternative method that might work better in some circumstances.

  • Go to Resources > Create Inventory > Add Physical Item

  • Choose New for the holdings option

  • Choose Citation Type = Book

  • Add required fields such as Title and as much information as you need for the ILL record

  • Select the Library and Location for the item and Barcode

  • Select Save.

  • A work order will automatically be created as part of this process. You'll want to make sure the AcqWorkOrder is set not to recall loans (the box should be unchecked). Configuration > General > Work Orders and Departments > Work Orders > AcqWorkOrder > Edit. This setting requires the General System Admin role. Please ask OhioNet to check the configuration for you. 

  • There will be an override message when you go to check the item out due to the work order. This is fine - override and check the item out.

  • When the item is returned click "OK" to acknowledge the work order and cancel printing the transit letter. Delete the item and that will also delete the work order.
