General Workflow

Workflow for New Resource Subscriptions

When adding a new database or resource package/titles, there are a number of steps to take. You will want to consider the following:

  • Do I need to provide the vendor with my Proxy IP? Yes, if you want to enable off-campus access - let us know if you need the IP information. Also notify OPALHelp so that we can update your EZProxy configuration.
     
  • Do I need to manually activate this resource in Alma or is an autoholdings integration available for automatic upload of electronic holdings? OPALHelp can configure these for you. This only applies for resources you purchase locally that are not handled by OhioLINK through the Network Zone (NZ).
     
  • Do I need to add this database to EBSCOhost (see Database tab above)?  Add the database to the EBSCOhost profile(s) in your EBSCOAdmin by toggling the button in the enable/disable column to "on" to make them available for searching. Otherwise, users will be taken to a list of available EBSCO databases instead of the specific one listed. 
     
  • Do I want to set up SUSHI harvesting in Alma for usage data?
     
  • Do I need to add this resource to my local A-Z databases list or LibGuides?
     
  • Do I need to add a link to my website, learning management system, or elsewhere?
     
  • Do I need to advertise or announce this resource to students, staff, administration?
     

Note: Since we no longer use EBSCO's FTF as our link resolver, you do not need to update the information in EBSCO Holdings Management even though the tab is still visible.


Subscriptions that are not renewed need to be removed - reverse the steps above.
